The Opportunity
Eon is looking for a dynamic Executive Assistant/Office Manager to join our growing team.  This is a critical role supporting our co-CEOs and overseeing all Denver office management responsibilities. This position is based in Denver, CO. 
 
The role will be responsible for the successful operation of all activities in the Executive Office and will act as the first point of contact between the co-CEOs and all entities with which they are involved, both within and outside of the company. The individual in this role will perform varied, complex, and confidential administrative, secretarial and office support tasks in support of the CEOs and other members of the Executive team. The Executive Assistant will be assigned and own certain special projects, as directed, as well as provide travel support and calendar management for the co-CEOs. 
Office management duties will ensure that the Denver office is prepped and running efficiently. This may include scheduling and managing on-site meetings with external organizations, overseeing logistics for any professional development events, coordinating with building maintenance and staff, and managing and tracking inventory.
 
In this role you will be responsible for:
Executive Assistant Duties
●      Regularly interact with all levels of company personnel in a professional, welcoming, and courteous manner.
●      Anticipate the needs of the CEOs by thinking and working proactively with a one-step-ahead mentality.
●      Must be a self-starter and have the ability to problem solve, think critically, and be self-reliant to solve problems 
●      Manage complex and ever-changing day-to-day schedules of the CEOs, scheduling and organizing meetings across multiple time zones.
●      Coordinate and reserve complex and detailed travel arrangements including flight, hotel and transportation rental reservations.
●      Prepare for meetings and appointments by preparing conference rooms and audio/visual needs.
●      Occasionally attend meetings to take notes and ensure action items are captured and followed through.
●      Assist in regularly creating and editing memos and presentations to be presented by the CEO/Executive Team.
●      Prepare correspondence, contracts, and reports within a predetermined time frame, and with accuracy and efficiency.
●      Oversee personal and departmental expenses submitting all necessary invoices and credit card expenses in a timely manner.
●      Handle confidential information meticulously; escalate any required information with discretion.
●      Answer phone calls and screen calls for purpose and intent of call; take complete and accurate messages and relay messages appropriately.
●      Maintain corporate documents in accurate and efficient files.
●      Coordinate important information and syncing of meetings between executives, vendors, partners, and investors.
●      Draft, proofread, and send communications on behalf of company executives.
●      Answer and respond to phone calls, text messages, and emails on behalf of the executives.
●      Organize and prepare for meetings, including gathering necessary documents and attending to logistics.
●      Relay important information between CEOs and internal teams.
●      Assist with special projects and functions as needed.
 
 
Office Management Duties:
●      Manage inventory and order office supplies (paper, printer toner, etc.).
●      Prepare envelopes and postage for paperwork/documents.
●      Assist in planning company events, meetings, luncheons, and employee team building activities.
●      Oversee mail deliveries, packages, and couriers.
●      Purchase, track, and invoice office supplies for each department.
●      Set up, break down, organize, and maintain conference rooms, training rooms, and meeting rooms.
●      Keep the kitchen and refrigerator neat and clean.
●      Manage site specific network infrastructure & server support projects.
●      Responsible for ordering, the preparation of, and tracking all Eon US employees laptops and software equipment.
 
Skills and Requirements:
●      3+ years Administrative or executive assistant experience preferred.
●      Bachelor’s Degree preferred.
●      Significant experience with Apple software, Google Workspace and Microsoft Office.
●      Ability to adapt to changing priorities in a fast-paced environment.
●      Must be able to work independently and possess the ability to make independent decisions when circumstances warrant such action.
●      Must possess the ability to effectively and tactfully communicate with personnel, visitors, and customers.
●      Must have flexibility in work schedule.
●      Must possess excellent organizational, analytical, and anticipatory skills.
●      Must be able to multitask and handle a busy workload in order to meet strong deadlines.

The pay range for this position in Colorado is $55,000 - $70,000 (yr base pay); however, base pay offered may vary depending on job-related knowledge, skills, and experience.  This information is provided per the Colorado Equal Pay Act. Base (CEPA) pay information is based on market location.
